1. Ask a colleague to print the same document. Works for them? Your machine is the cause.

Print job stuck in queue, nothing happens

Accepted Answer

1. Settings > Bluetooth & devices > Printers > click your printer > "Open queue". Remove the oldest stuck document.
2. Not working? Restart the Print Spooler service: right-click Start > "Run" > "services.msc" > "Print Spooler" > right-click > "Restart".
3. Then immediately try again. Sometimes you also need to close and reopen Office.
4. If the printer is offline: power it on, wait twenty seconds before retrying. It needs time to boot.

Scanner no longer sends emails (scan-to-email)

1. Ask IT which email account the scanner uses. Test whether you can send a message manually with it.
2. Microsoft 365 has "SMTP basic auth" disabled for new tenants; old scanners stop working there. Needs OAuth or an SMTP relay.
3. Account password expired? Renew, and update in the scanner settings.
4. Mail seems to send but never arrives: check the recipient's spam folder and the domain reputation. Scanners are a classic spoof vector.

One color is missing in the print, or stripes show up

Accepted Answer

1. Run the "head cleaning" or "nozzle check" routine on the printer. In the printer menu, not on your laptop.
2. Replace the cartridge for the missing color; inkjet and laser do not always give a clear "empty" warning.
3. Stripes from ink: print five test pages in a row. On inkjet, repeated use often clears flow.
4. Stripes on laser: another symptom of a dirty drum unit or a corotron issue. Not DIY for the average user.

Printer jams every print

Scan-to-email cuts off on big documents

1. Split the document in two scans (first 20 pages, then the rest). Sent as two emails.
2. Lower scan resolution from 600 to 300 dpi. For text, 300 is fine and the file is a third of the size.
3. Scan in black-and-white if colour is unnecessary. Four times smaller.
4. Ask IT to raise the scanner account's outbound limit (some tenants are still on 25 MB; default is 35 MB).
5. For regular big scans: scan-to-OneDrive or scan-to-network-share is more robust than mail.

Print went to the wrong printer

1. Walk over and grab the document before a colleague sees it, if sensitive.
2. Pin a default: Settings > Bluetooth & devices > Printers > turn OFF "Let Windows manage my default printer" and manually pick the right one.
3. In the print dialog (Ctrl+P) the printer is at the top. Three seconds of checking prevents most of these mistakes.
4. For sensitive prints: use "Secure print" / "Pull-printing" if your printer supports it. The print only releases when you tap your badge at the device.

Paper jam in scanner or multifunctional

1. Power off the device before reaching in, so rollers do not restart while your hand is inside.

3. Pull sheets out IN the direction of paper flow. Pulling against it tears the page.

4. Working from home via VPN? The job goes through the tunnel first, which explains the first-page delay.

4. On Mac/Apple Mail: File > Print > scale to 100% or fit to page.

Everyone forgets to set duplex, paper use is creeping up

1. Settings > Bluetooth & devices > Printers > click the printer > 'Printing preferences'.
2. Find 'Print on both sides' or 'Duplex', set to 'On' (long edge for normal documents).
3. Save. Test with a two-page Word file.
4. Have a print server? It needs to be set centrally; local changes only affect your machine.

1. Try logging in with PIN or username instead of the badge. Works? The badge link is broken, not the user.

3. Many pull-print systems require a one-time re-enrol of the badge. Ask your admin what it's called locally.
4. New badge? The old link has to be disconnected before the new one works.

Question 13

A4 prints on A3 or vice versa, tray message keeps coming back

Accepted Answer

1. Open the document > File > Page Setup. A4 or A3? Adjust and save.
2. At print time: hit 'Properties' or 'Preferences' and pick the correct tray explicitly.
3. Getting 'load A4 in tray 1' while A4 is loaded? The printer thinks it is A3. Open the tray, push the paper guides snug against the stack, close. It re-measures.
4. Mixed-format offices: put a sticker with the size on each tray. Sounds simple, kills most of these issues.

Lots of A3/A4 mixed work? A good MFP with automatic tray detection saves time every week. Ask us for contract advice.

Question 14

Print is slightly cut off at the edges, or weirdly centred

Accepted Answer

1. At print: 'Properties' or 'Preferences' > find 'scaling' > set to 'Actual size' or '100%'.
2. PDF in Acrobat Reader: the print dialog shows a preview. Pick 'Actual size' instead of 'Fit' to avoid cropping.
3. Tight margins? Open in Word > Layout > Margins > Narrow. Or keep margins at 5mm or more; printers cannot print edge to edge.
4. Every printer has a 3-5mm 'unprintable area'. That is physical, not solvable in software.

Watermark, header, or footer missing on the print

Accepted Answer

1. Word: File > Print > click 'Page Setup' at the bottom. Check 'Print background' for watermarks.
2. Printing a PDF made elsewhere? Open the PDF first; is the watermark visible there? If not, the export is the issue, not the printer.
3. Excel: margins under 'Page Layout > Margins' can clip headers/footers. Set to 'Narrow'.
4. 'Draft mode' often skips watermarks to save ink. Disable in the driver.

3. Still wrong? Close and reopen the document. Some documents with section breaks reset numbering at print time.
4. PDF: check whether the document uses 'logical' numbering (i, ii, iii for the intro); if so, type the physical page number.

PDF prints as gibberish characters or grey blocks

1. Open the PDF in Acrobat Reader, not in the browser. At print: 'Advanced' > tick 'Print as image'. Slower but works almost always.
2. No luck? Ctrl+P and pick 'Microsoft Print to PDF' to re-save the file. Then print the new one.
3. Stubborn? Open in Chrome or Edge and print from the browser. Different render engine, different outcome.
4. Form PDF? Save as 'Flattened' so fields become static text and the printer treats it normally.

Happens with every PDF? The driver or PDF reader has an issue. Fifteen minutes of diagnosis usually fixes it.

Question 18

Nothing prints and the Print Spooler service keeps stopping by itself

Accepted Answer

1. Open Services (services.msc), find "Print Spooler", stop the service.
2. Go to C:\Windows\System32\spool\PRINTERS and delete everything in that folder. Only pending print jobs, no drivers or settings.
3. Start Print Spooler again. Try a test page.
4. Still broken, run a driver cleanup. In an admin CMD, run "printui /s /t2" to view the driver list. Remove suspect or duplicate drivers.
5. For a durable fix, prefer Type 4 (V4) drivers as default. They are package-aware and resist corruption better than classic V3 drivers.

After a driver update the printer works badly

2. Go to the manufacturer site (HP, Canon, Brother, Xerox, Konica) and download the specific driver for your model. Not the generic one.
3. During install: pick 'Custom' and disable auto-update or you'll be back here in two weeks.

Printer warns 'toner low' but prints still look perfect

When does the drum unit need replacing?

1. Print a solid-text test page and look: black dots at regular intervals? That's the drum (fixed circumference = fixed spacing on the page).
2. Faint grey background on what should be white: drum is worn or saturated.
3. The printer often raises its own drum warning around 12,000-30,000 pages (model dependent). Do not ignore it for too long; a burnt drum can take other parts down with it.
4. Drum replacement is usually a cassette swap, similar to toner. Some brands integrate drum and toner in one block.

Scan to network folder returns 'access denied'

4. On Windows shares: SMBv1 is off on modern servers. Old scanners need SMBv2/v3; some models cannot and need a relay share.

OCR is producing gibberish from my scanned document

Accepted Answer

1. Scan at 300 dpi minimum for text, 600 dpi for small or tricky text. Below 200 dpi OCR always struggles.
2. Use black-and-white for pure text. On greyscale or colour, OCR easily thinks shadow or colour is text.
3. Enable de-skew in the scanner software. Or feed paper straight; it makes a huge difference.
4. Handwriting or stamps? OCR is bad at that regardless of software. Expect typos or have a human check.

3. Wait 30 seconds, power back up. Boot on big devices is 2-5 minutes; be patient.
