Visitors need to print something, how do we do that safely?
Guest printing via a QR code on the printer (PaperCut Mobility Print, Universal Print guest, vendor apps) or via a dedicated guest mail address that only reaches the printer. No access to the corporate network.
Try this first
- 1Place the printer in a guest/print VLAN that only reaches internet, not corporate resources. Otherwise a guest can scan internal hosts.
- 2Activate a guest print flow: PaperCut Mobility Print shows a QR code at the printer. Guest scans, gets an upload page, prints, done.
- 3Alternative: a guest mail address (print@company.nl) routed to the printer. Works anywhere, no WiFi dependency.
- 4Set quotas or retention: max 20 pages per guest job, jobs expire after an hour. Otherwise it gets abused.
- 5Brief reception: for visitors with print needs, here's the QR code and how it works. Otherwise IT ends up on standby.
When to bring us in
For offices with regular visitors (legal, advisory, architecture) this is a useful default feature. We deploy including a reception briefing.

- Print job stuck in queue, nothing happensA stuck queue blocks all subsequent prints. Cleaning takes two minutes.
- Scanner no longer sends emails (scan-to-email)Almost always: the account the scanner uses had its password expire, or the mail provider blocks old protocols.
