Can I paste a customer file or email into ChatGPT?

1. Check the account: free/Plus is a consumer account, prompts can be used for training by default. ChatGPT Team, Enterprise and API traffic are policy-excluded from training, but that is not the same as 'not stored'.
2. Personal data and customer names are GDPR data. Pasting them into a private account is effectively a transfer to a third party without a DPA, so do not do it.
3. Anonymise or generalise before pasting. Replace names, case numbers, and amounts with placeholders and ask for output against those placeholders.
4. Prefer a business tier (ChatGPT Team, Copilot with data boundaries in your M365 tenant, or Claude for Work). You get a DPA and the traffic stays closer to your org context.
5. Write down which tools are allowed and train people on anonymising. One page is enough.

When to bring us in: 
If sensitive data already went into a private account, or a customer asks for proof of what happened to their data: let us help with a clean response.

Question 2

I want a one-page AI policy for my team

Accepted Answer

1. Header 1, approved tools: name explicitly which AIs are allowed for work (e.g. Copilot in M365, ChatGPT Team account). Anything not listed is off-limits for work data.
2. Header 2, what can go in: bullet list of data classes. Public info and internal notes are fine, customer data only anonymised, social security/medical/payroll never.
3. Header 3, review: 'AI output is a first draft, not a final product.' Whoever ships it, checks it and owns it.
4. Header 4, reporting: where to report a mistake, a data leak, or a suspicious answer. One mailbox or channel.
5. Sign it with a date and revisit twice a year. AI moves, the policy has to move with it.

When to bring us in: 
Regulated sector (health, finance, law)? Have a lawyer read it before you sign, then you are covered.

Question 3

How do I tell if an AI answer is made up?

Accepted Answer

1. Ask for sources or citations and actually open them. No working link or a title you cannot look up: treat the answer as unsure.
2. Always double-check numbers, names, dates, and legal articles yourself. This is where hallucinations hit hardest.
3. Ask the same question in two sessions or a different model. If answers differ, at least one of them is shaky.
4. For legal, medical, or financial text: AI is a faster typist, not a substitute for the specialist who has to sign it off.
5. Give the model context (own documents via Copilot or Claude Projects). Grounded material reduces hallucinations a lot, not entirely.

Question 4

Copilot, Copilot Pro, M365 Copilot. What does each one do?

Accepted Answer

1. Free Copilot (web/Edge/Windows): consumer AI chat, no access to your work files, only what is public on the web.
2. Copilot Pro: consumer AI with integration into personal Office apps. Does not work on business data in an M365 tenant.
3. Microsoft 365 Copilot (business add-on): sits inside Word/Excel/Outlook/Teams in your tenant and can read your documents and mail via Microsoft Graph. This is the version most companies actually mean.
4. Copilot Chat in M365 (no add-on): web chat scoped to your tenant with a data boundary. No Word/Excel integration, but safer than the free web Copilot.

An AI transcribes our meetings, is that allowed?

1. Ask consent at the start of the meeting, verbally and in the calendar invite. One person objects: turn it off.
2. Be clear where the transcript ends up (Teams Premium, Otter, Read.ai, Fireflies). External tools means third parties means a DPA is required.
3. Set a retention period. A transcript is not minutes, dropping raw data after say 30 days saves you later questions.
4. Note: an AI bot joining your call counts as an attendee. Ask explicit consent for external meetings or keep it disabled.
5. Put in your AI policy which transcription tool is standard and which is not, avoids ten random Otter accounts.

If a customer asks why a bot was in their call: call us for a clean explanation, do not improvise.

Question 6

Can I use that custom GPT or plugin from the store?

Accepted Answer

1. Check who built it. A random hobbyist offering a free tool that wants to read your full PDF: not for work files.
2. Read what actions it performs. 'Internet access', 'Code execution', and 'External API calls' mean your input can land on the builder's server.
3. For business data: only use plugins from vendors you already have a contract with (Atlassian, Salesforce, etc.) and verify a DPA is in place.
4. ChatGPT Team admins: default to 'no plugins' and approve per tool. That is a checkbox, not a project.
5. Building your own internal GPT is fine, but the document you upload stays until someone deletes it. Keep that managed.

When to bring us in: 
Unsure about a specific plugin for business use: send us the name and we will check vendor and permission model.

Question 7

Copilot in Outlook is gone or does nothing

Accepted Answer

1. (In classic Outlook with the File menu. In new Outlook this settings panel is different; toggle back if needed.) Check in the Microsoft 365 admin center that the Copilot license is assigned to this user, not just purchased. Buying is not assigning.
2. Open new Outlook (web or the new Windows app). Copilot features land there first, classic Outlook lags.
3. Ask a colleague with the same license whether it works for them. Yes: cache or profile issue. No: tenant setting.

Copilot in Word/Excel does not know my files

1. Is the file in OneDrive for Business or a SharePoint library you have access to? Files on the local C: drive are invisible to Copilot.
2. Test: search Microsoft Search (the top bar in Office) for the file. No hit there = Copilot will not find it either.
3. Files just uploaded? Give Microsoft Graph a few hours to index. Larger tenants take longer than small ones.
4. SharePoint libraries with restrictive controls (ITAR, sensitive labels) are often excluded from Copilot by policy. Ask your admin.
5. In a chat: use / to explicitly attach a file, that way you do not depend on Copilot finding it on its own.

Company files are not indexed for weeks, or Copilot only sees your own files and not the shared library: tenant setting, mail us.

We want our own documents searchable by AI

1. Inventory first: which documents do you actually want searchable? Fifty PDFs with stale versions: clean up first, AI second.
2. All in M365? Try Copilot Chat scoped to SharePoint sources or an agent in Copilot Studio. No code, tenant data boundary in place.
3. Google Workspace? Similar setup with Gemini and NotebookLM for scoped document sets.
4. Not happy yet, or outside M365/Google? Then a real RAG (LangChain/LlamaIndex on Azure OpenAI or similar) is on the table. That is a project.
5. Set measurable goals. 'People find the right quote template in 30 seconds' beats 'AI on our data'.

Which AI is allowed to do what with our data?

Can I use AI images (DALL-E, Midjourney) for business?

1. Read the tool's terms. OpenAI images allow commercial use on paid plans or via API, Midjourney has a separate commercial tier.
2. Copyright: in NL/EU a purely AI-generated image is likely not copyrightable. You have it, but you cannot stop others making the same.
3. For logos, brand visuals, and anything that needs distinctiveness: AI as ideation is fine, final image by a designer saves headaches later.
4. Watch for recognisable styles or names. 'In the style of living artist X' is a trademark risk and sometimes returns recognisably.
5. Keep the prompt and tool name with the image. If someone later asks 'is this AI?', you want to be able to show it.

We transcribe customer calls with Whisper, how long do I keep them?

2. Call note: typically 30-90 days after entry in CRM. Then delete, not 'just in case' forever.
3. For training/quality: anonymise (names and companies out) and longer retention is on the table, but that is a separate file.
4. Tell customers the call is being transcribed before you start. 'For quality and training' is not enough, it must be clear that AI is involved.
5. Set the retention as a rule in your storage (SharePoint, S3, Drive). Manual cleanup, everyone forgets.

Can our developers use Cursor or GitHub Copilot?

1. Pick the business tier: GitHub Copilot Business and Cursor Business both promise code is not used for training. Free/personal differs.
2. Repos with customer credentials, keys, or medical data deserve extra care. Disable AI completion there or use exclude patterns.
3. AI suggestions are suggestions. Code review is not optional; the hallucination sits in an import that does not exist or a security flaw.
4. Track license attribution. AI can suggest license-unaware snippets, an SBOM and normal dependency review catches it.
5. Assign ownership: one developer who periodically checks team settings and the current tier choice.

Question 14

People use their private ChatGPT for work, now what?

What does an AI browser extension actually see?

Can an email hijack my AI assistant?

2. Realistic 2026 impact: AI assistants with agentic actions (send mail, create ticket) are most exposed. AI for summary only is a much smaller risk.

Can I run a confidential document through DeepL?

Windows Recall, on or off?

1. Business default: off. Recall locally stores passwords, customer data, and anything that was on screen, even when you did not mean it to.
2. M365 tenants: disable Recall via Intune policy on Copilot+ PCs. End users can re-enable it otherwise.
3. Recall stores locally with encryption tied to sign-in. Losing the laptop with a weak PIN means the data is a target for whoever finds it.
4. If someone really wants it on: inform them what lands in Recall, and exclude apps/sites that should not be captured (sensitive browser tabs).

3. Confidentiality: invoice data is business-sensitive. Use a tool with a DPA, not 'photo in ChatGPT' as a routine.
