Room is booked in Outlook but the room display does not show it
Outlook and the room system must run through the same resource mailbox. If someone books in a local calendar or an external tool, the booking never reaches the room display.
Try this first
- 1Check that a resource mailbox exists for the room in Microsoft 365, a regular user mailbox does not work for room finder or delegated booking.
- 2Set calendar processing to auto-accept with the right rules, otherwise invites stay tentative.
- 3Link the room display, or the room system itself, to the same resource mailbox, not a personal account.
- 4Test by sending an invite from another user and verify the room appears on the display within five minutes.
- 5For Zoom Rooms the link is slightly different, you tie the room to a Zoom Room licence and then to an Exchange or Google resource.
- 6Review active rooms once a quarter, stale tests or cancelled rooms sometimes linger on the mailbox.
When to bring us in
If bookings still do not arrive, the cause is in Exchange permissions or a mailbox quota. Vectel can audit and fix the configuration.
