Wish that lights and display turn on automatically when the meeting starts

It is possible, but it adds an integration layer. A room system does not drive lights itself, you need a controller that takes meeting-start as trigger and steers lights via DALI or KNX.

Try this first

  1. 1Check whether the building already has a controllable lighting system, otherwise this is a double investment.
  2. 2Look at which triggers the room system can emit, Crestron, Q-Sys and some Logitech models can talk to a lighting system over API or contact closure.
  3. 3Define the scenes, meeting start, presenting, meeting end, and the matching light level, otherwise you build something nobody likes.
  4. 4Plan a manual override, users want to step in when automation does not match the situation.
  5. 5Pilot in one room before rolling out to all, behaviour differs per situation.
  6. 6Document in the room guide what the automation does, otherwise people think it is broken.

When to bring us in

A clean integration between room system, calendar and building services is usually work for an AV integrator with a facility manager. Vectel can connect the IT side.
