My signature keeps disappearing or switching
Outlook stores signatures locally per profile; on a new machine or with a second account it often picks the wrong one.
Try this first
- 1(In classic Outlook with the File menu. If new Outlook is in the way, toggle it off top-right.) New message > Message tab > Signature > Signatures. Set, per mail account, which signature is default for 'New messages' and 'Replies'.
- 2Work across devices? outlook.office.com has its own signature; put the same text there so web and mobile match.
- 3Do not paste from Word; type into the signature window directly. Word formatting often introduces odd line breaks.
- 4On a new PC: copy the 'Signatures' folder from %APPDATA%\Microsoft to the same path on the new machine.
When to bring us in
If a central signature tool (Exclaimer, CodeTwo, or M365 itself) is in use, the user should not see drift; mail us when it does.
