Some files show a cloud, others a green tick: what does that mean?
Files On-Demand uses icons to show whether a file lives only in the cloud, is locally available, or is pinned to stay local.
Try this first
- 1Cloud = file lives in the cloud only. Opening it downloads it automatically.
- 2Green tick = locally available (downloaded because you opened it), but Windows may free the space if disk gets tight.
- 3Solid green circle with white tick = 'Always keep on this device'. Right-click > 'Always keep on this device' to toggle.
- 4Low on disk space? Right-click a big folder > 'Free up space'. The files remain available but turn back into clouds.
When to bring us in
No escalation needed; this is by design. Only call us if pinned files vanish locally without reason.

- Outlook crashes or freezes on large attachmentsUsually the mailbox cache is the culprit, not Outlook itself. Shrinking or relocating usually helps within ten minutes.
- Teams: they cannot hear me, or I hear nothingIn our experience Teams usually picked the wrong audio device after a Windows update or a new headset.
- OneDrive has stopped syncingThe cloud icon is grey or has a warning. Locally changed files are not showing up for colleagues.
