What does IT-onboarding a new employee cost
Do not forget: the laptop is only a third. Licences, accounts, and the hours to set everything up add up to a multiple.
Try this first
- 1Hardware: laptop, dock, monitor, keyboard, mouse, headset. For an office workstation between 1100 and 1800 euros all-in. For a hybrid worker with a dual-monitor home setup it is more.
- 2Licences: M365 Business Standard or Premium, possibly CRM, design tools, or industry software. Adds up to a few tens of euros per month easily.
- 3Accounts and access: provisioning M365, AD rights, mailbox, Teams, drive permissions, VPN, password manager invite, hardware key registration. In practice this is a half to full day of IT work per new hire.
- 4Telephony: VoIP extension, possibly a second SIM or softphone licence. Separate from any mobile phone reimbursement.
- 5Budget a first-week helpdesk buffer. New hire equals questions. Plan 2 to 4 hours extra support in the first fortnight. Always happens, rarely budgeted.
