We are buying a new SaaS: what should I watch for on sign-up?
The first 30 minutes set whether you suffer later: account ownership, SSO, billing, and data location are things that hurt to change after.
Try this first
- 1Create the master account with a role-based mailbox (admin@company.com), not a personal one; otherwise access is lost when that person leaves.
- 2Turn on MFA on the admin account immediately, before continuing setup.
- 3Check which region the data sits in (EU vs US) and adjust before importing content; later switches are often impossible.
- 4Where possible, enable SSO via Microsoft 365 or Google Workspace; saves a lot of offboarding work later.
- 5Add the vendor to your SaaS register (a spreadsheet is fine) with billing frequency, contract end date, and the owner.
When to bring us in
For SaaS that will hold sensitive data (customers, salary, health): ask for advice on the DPA and sub-processor list before signing.
