How do I compare IT quotes fairly between vendors

Different layouts make quotes near-impossible to compare unless you place them side-by-side in the same table. Here is the question list.

Try this first

  1. 1Build your own comparison table with line items: licences (which), hardware (which models), retainer (hours range, response time), project work (separate or included), maintenance (firmware, backup, security updates).
  2. 2Ask each vendor to map their quote to YOUR table. If they refuse, you know they want their layout to stay incomparable.
  3. 3Stress-test the assumptions. "10 employees, 1 office, M365 Business Premium" is clear. "Management of your IT environment" is not. Force specifics.
  4. 4Read the fine print. Cancellation, mid-contract price changes, escalation route, after-hours surcharges, exit clauses (data and credentials portability). The real difference between salesman and partner is here.
  5. 5Ask for references in similar customers. A vendor who can name three in your sector is a serious signal. One who cannot is also a signal.
