How do I budget IT when I do not know if we will be 5 or 25 people this year?

Build your budget like socks: a hard base for the current state, plus elastic per employee. Avoid big prepaid commits while the headcount is uncertain.

  1. 1Split the budget into fixed (office, base firewall, domain, hosting) and variable per employee (licenses, laptop, management).
  2. 2Avoid 36-month license commits for total capacity, choose monthly or yearly with room to grow.
  3. 3Reserve an onboarding pot per new hire, do not start billing only when the first person walks in.
  4. 4Review every quarter, not yearly, because during growth half of your estimate is stale within three months.
