Out-of-office sends nothing, or sends too much
Usually a mix of separate internal/external messages and a "send only during this period" rule that is wrong.
Try this first
- 1Outlook > File > Automatic Replies. Confirm "Send automatic replies" is on and the time window is correct.
- 2Two tabs: "Inside my organisation" and "Outside my organisation". Many fill only the first and external senders get nothing.
- 3External limited? Tick "My Contacts only" or "Anyone outside my organisation", not just "My Contacts"; otherwise unknown senders miss it.
- 4For Outlook Web: outlook.office.com > gear > "Automatic replies". Same setting, sometimes easier from phone.
- 5If it does send but multiple times to one sender: that is normal, Outlook sends once per person per session.
When to bring us in
OOO not working for one specific sender, or causing a mail loop? That is a filter or rule issue we can see better from our side.
