How do I set up automated reminders without harassing clients?
Automated reminders only work if reconciliation is tight. Otherwise customers get reminders for already-paid invoices and you lose goodwill in a day.
Try this first
- 1Run bank link and reconciliation daily, not weekly, otherwise your AR view is stale.
- 2Define 3 steps: a friendly reminder at +7 days, a firmer one at +21 days, a final notice at +42 days.
- 3Always show invoice number, IBAN and QR code in the email so the customer pays in one click.
- 4Exclude key or strategic accounts from the automation and call them yourself, in our experience the breaking point.
- 5Auto-pause if a customer replies within 24 hours with a payment promise, otherwise the next email steps on it.
