How do I set up automated reminders without harassing clients?

Automated reminders only work if reconciliation is tight. Otherwise customers get reminders for already-paid invoices and you lose goodwill in a day.

Try this first

  1. 1Run bank link and reconciliation daily, not weekly, otherwise your AR view is stale.
  2. 2Define 3 steps: a friendly reminder at +7 days, a firmer one at +21 days, a final notice at +42 days.
  3. 3Always show invoice number, IBAN and QR code in the email so the customer pays in one click.
  4. 4Exclude key or strategic accounts from the automation and call them yourself, in our experience the breaking point.
  5. 5Auto-pause if a customer replies within 24 hours with a payment promise, otherwise the next email steps on it.
