Find an important email from two years ago
Even if deleted, it usually still exists somewhere. The route depends on what is active: archive, retention policy, or backup.
Try this first
- 1Outlook > search bar > "All Mailboxes". Start broad; deleted does not always mean gone.
- 2Outlook > Deleted Items: up to 30 days everything stays there. Beyond: right-click "Deleted Items" > "Recover Deleted Items". Up to 14 more days recoverable.
- 3Microsoft 365 with retention: ask IT to search in Compliance Center. With the right permissions, mail from years back is reachable.
- 4Mailbox archive: in Outlook a separate folder at the bottom ("In-Place Archive" or "Online archive"). A lot of older mail may live there.
- 5Very old: backup system. Ask IT whether an Exchange restore from a specific date is possible.
When to bring us in
Soft-delete recovery (last route) and backup restore are admin work; do not DIY, one wrong command wipes more. We do this regularly in about an hour.
