How do I know if I have too many or too expensive licenses?

Many SMBs have Premium licenses where they use 20 percent of features, or pay for people no longer employed. A license cleanup often delivers a nice saving in year one.

Try this first

  1. 1Pull the active user list and compare it to payroll, ex-employees with active licenses are pure waste.
  2. 2Per user: check which features they actually used in the last 90 days, not what they theoretically could.
  3. 3For people who only need mail and calendar, a lighter license can be enough.
  4. 4Company add-ons like Power BI Pro or Project: count active users, not seats purchased.
