What does a backup solution cost per user per month
Per-user volume is predictable, the variance is in tooling and retention. Ranges from a few euros per user to tens, depending on what you protect.
Try this first
- 1Inventory what is backed up: just mailbox and OneDrive, or SharePoint, Teams, endpoints and on-prem fileservers too. More surfaces, more cost.
- 2Set retention. 30 days is cheap, 1 year is normal for SMB, 7 years for accountants or healthcare costs more. After surface, retention is the biggest cost driver.
- 3Compare vendors on listed per-user-per-month price: Veeam Cloud Connect, Acronis, Datto, Synology C2 Backup, MSP360. All publish SMB tiers or via partners.
- 4Add storage cost separately. Some tools charge per user with unlimited storage, others per user plus gigabyte. The latter explodes on large mailboxes.
- 5Budget for a yearly restore test, not just licence cost. A backup never tested is not a cost, it is an illusion.
