Onboarding flow for a new hire, which steps to automate?

Day-one onboarding without automation takes 2-4 hours per new hire. A good flow does 80% in minutes and leaves human steps (welcome chat, hardware handover) intact.

Try this first

  1. 1Trigger on 'hire confirmed' in HRM (AFAS, BambooHR, Officient, Loket) or a designated sheet. Fields: name, email, role, department, start date.
  2. 2Create the account in M365 or Google Workspace with a secure starter password and forced change at first login. Assign M365 licence.
  3. 3Add to the right groups: department group, distribution list, correct SharePoint access, right Slack or Teams channels.
  4. 4Order hardware via procurement workflow if not yet on hand, or mark which laptop id from stock to prepare.
  5. 5Welcome email to the hire and briefing email to the manager with the first-week checklist.
