Onboarding flow for a new hire, which steps to automate?
Day-one onboarding without automation takes 2-4 hours per new hire. A good flow does 80% in minutes and leaves human steps (welcome chat, hardware handover) intact.
Try this first
- 1Trigger on 'hire confirmed' in HRM (AFAS, BambooHR, Officient, Loket) or a designated sheet. Fields: name, email, role, department, start date.
- 2Create the account in M365 or Google Workspace with a secure starter password and forced change at first login. Assign M365 licence.
- 3Add to the right groups: department group, distribution list, correct SharePoint access, right Slack or Teams channels.
- 4Order hardware via procurement workflow if not yet on hand, or mark which laptop id from stock to prepare.
- 5Welcome email to the hire and briefing email to the manager with the first-week checklist.
